TITLE: Sr Human Resources Assistant BAND/ZONE: N2
DEPARTMENT: Human Resources LOCATION: New York, NY
SUMMARY OF POSITION:
Responsible for providing administrative and operational support to the human resources staff. Performs administrative duties to ensure department procedures are executed and employee programs delivered effectively and efficiently. Responsible for tasks such as administration of employee benefits, processing general ledger entries, reconciling invoices, preparing internal reports, and general office services. Works independently under minimal supervision on these tasks.
ESSENTIAL FUNCTIONS:
General HR Support
- Responsible for maintaining updated employee Personnel and Confidential Files.Maintain complete electronic employee personnel files, records, and other employee documentation.
- Record hire events, terminations, and registrations for benefits in HRIS systems of record. Provide employee HR systems support such as user creation and assisting employee’s with HRIS use and troubleshooting as needed.
- Maintain Holiday Lists for SCA, Subs, and other countries on Eagle Intranet.
- Responsible for generating monthly reports, such as Employee Anniversary Report, quarterly overtime reports, e-Learning Lists, monthly New Hire/Termination & Headcount for Accounting and IT Dept.
- Process pre-employment background checks as necessary.
- Process Employee Code Applications, Concur/Corporate Card Applications, and MDM Customer/Vendor Applications.
- Respond to Employment and Income Verification requests
- Register Employee Banking information in SAP.
- Provide HR support with ad-hoc administrative tasks and projects.
Payroll & Benefits Support
- Support employee Time and Attendance System administration, including password resets, tracking PTO requests, assisting with timesheet inquiries, etc.
- Maintain updated Kronos manual and quick reference guide.
- Process Manual Checks/ACH Payment.
- Assist with payroll processes, including processing manual checks/ACH payments
- Assist in the administration of employee benefits programs, ensuring accurate enrollment, changes, and compliance with company policies and regulations. Provide support to employees by addressing and resolving simple benefits-related inquiries and issues
- Assist with Benefits Meetings, including Open Enrollment, committee meetings, information sessions, and health fairs.
- Support Open Enrollment and benefits administration pertaining to Sojitz Group and Sojitz Automotive Group
- Support Affordable Care Act Reporting for Sojitz and all subsidiaries and affiliates in control group.
- Support Equal Employment Opportunity Commission annual submission process
- Support the administration of the 401(k) Plans for both Sojitz Group and Sojitz Automotive Group.
- Administer and ensure accurate and timely funding of 401K, HSA, FSA, and processing of associated intercompany transactions.
- Process enrollments and terminations for COBRA through vendor partner
Accounting Administration/Support
- Process general ledger entries related to payroll and benefits at regular frequency.
- Responsible for handling invoices/accounts payable for the Human Resources department.
Expatriate Staff
- Assist Expatriate Services team with administrative matters, ensuring cross-training and task sharing amongst HR team for mutual support
EDUCATION, EXPERIENCE AND SKILLS REQUIRED:
- B.A./B.S. desirable but not required.
- High proficiency with MS Excel is an absolute must
- Knowledge of general accounting/bookkeeping principles.
- Hands on administration of employee benefits experience is required.
- Minimum 3-5 years of administrative support experience.
- Organizational and time management skills required.
- Excellent attention to details.
- Ability to juggle many tasks and meet deadlines.
- Proficiency in SAP, Concur, Microsoft Office products strongly preferred
- Ability to demonstrate flexibility and work independently and as a member of a team.
- Must possess basic analytic skills and maintain confidential information.
