Description:
This position will provide Software support for the Bainbridge Management portfolio by using computer equipment, software, and other technical and training deemed necessary to fulfill company needs. You will provide reliable and friendly service to the Operations Support customers by performing all responsibilities with accuracy, completeness, and timeliness. Our customers include Bainbridge associates (site teams and home office), owners, residents, and vendors.
The Software Support Specialist is responsible for property operations through current Property Management Software systems including but not limited to migration activities – Acquisitions/Dispositions, In House Product Support, In House Troubleshooting, Training & evaluation of current and alternative options.

PRIMARY AREAS OF RESPONSIBILITY:

OPERATIONS SUPPORT AND MANAGEMENT
- Ensures all services and features in the Property Management Systems (RealPage and Yardi) are up and running notifying VP of Systems if there are any issues to where we will need to notify all employees.
- Work in the company support portal and actively work on support tickets submitted by various stakeholders.
- Must complete a minimum of 15 support cases daily when not working on a project. If working on a Project, must allocate time to resolve a minimum of 5 cases daily.
- Assist and participate in planning strategy to maintain PMS security for both Real Page and Yardi Platforms.
- Assist with creating How-To-Guides to be used on Operations Support Portal as well as Bainbridge TBU (The Bainbridge University)
- Assist and participates in the development of user instructional videos, system procedures, and other system documentation.
- Assist properties with Pre-close, AME Close-Out, and AP Close-Out.
- Assist other departments, i.e., accounting, marketing, education, etc. with resolving any back-office issues coming from PMS or technology stack.
- Communicate effectively with VP of Systems, Director of Software Support and Software Support Administrator on all matters related to Bainbridge technology stack.
PROPERTY MANAGEMENT SOFTWARE (PMS) IMPLEMENTATION AND SETUP
- Serve as a technical POC for all System Implementations working in conjunction with Software Support Administrator.
- Collaborate with Director of Property Operations to create and execute system implementation plans that are on-time, on-budget with highest customer satisfaction.
- Collaborate with Software Support Administrator for setting up integrations with 3rd party applications used by property in Yardi and Real Page.
- Document and communicate reasons for deadlines not being met in all implementations.
- Communicate when users, systems and/or services have been setup to all department heads and key team members when tasks are completed.
- Document and/or record implementation and configuration setup and steps
- Evaluates software administrative and management issues and recommends data conversion solutions.
- Responsible for setting up and disabling Bank Accounts and Check Scanner in collaboration with Accounting Department and Software Support Administrator.
- Responsible for user setup in RealPage, Yardi and any other software platform used in the company.
PROJECTS, ACQUISISTIONS AND DISPOSITIONS
- Communicate and update status of all projects being worked on via email to VP of Systems as well as any other stakeholders involved.
- Collaborate with Software Support Administrator and Director of Property Operations on any property acquisitions and/or dispositions.
- Make sure all action items assigned are completed on the Project Plan on the date that is due or before.
- Work with tools used for managing projects, acquisitions, and dispositions such as Smartsheet, Teams, Planner, etc.
- Must maintain a willingness to be a strong Team Player during departmental projects, acquisitions, and dispositions.
QUALIFICATIONS
- Bachelor's degree or applicable years of experience in multi-family industry
- 1-3 years of experience in an operations or software support role
- Strong understanding of Property Management Systems and processes
- Experience in data analysis and problem-solving
- Proficient in Microsoft Office applications such as: Word, Excel, PowerPoint, and Outlook
- Excellent communication and interpersonal skills
- Ability to multi-task and adapt to changing priorities
- Ability to work independently and as part of a team
PREFERRED QUALIFICATIONS
- Experience with RealPage OneSite and Yardi Systems
- Experience with data warehousing and business intelligence tools
- Experience with project management methodologies
- Experience with support ticketing systems
