School Board Office Secretary/Receptionist May 10, 2024
Preferred Qualifications :
- Is at least 21 years of age and possesses a high school diploma or GED certificate
- Associate degree or higher preferred
- Knowledge of current office procedures and practices
- Computer literate, proficient in Excel, Word, PowerPoint, and the Google Suite for collaboration
- Functional knowledge of commonly used office equipment and work-flow technologies
- Excellent verbal and written communication skills
- Dependable and punctual
- Experience working with the federal Family and Medical Leave Act (FMLA)
- Maintains confidentiality of sensitive personal documents and file
Performance Responsibilities :
- Provides administrative support for hiring staff, data management of personnel, and/ or payroll information
- Type correspondence, reports, and other materials as directed by the immediate supervisors
- Supervises school board office lobby for efficient operations.
- Supervises the maintenance of an appealing and clean office lobby.
- Positively greets students, school employees, other school division personnel, parents, and visitors.
- Screens walk-ins for appointments with school board administrators.
- Answers the telephone in accordance with school procedures.
- Maintains office calendar of activities and the use of meeting spaces within the building.
- Organizes information and maintains accurate files by discarding outdated information.
- Effectively operates office machines.
- Requisitions office supplies as needed.
- Maintains inventory of supplies and materials.
- Acts as an information resource to school employees and the public on various matters related to school operations, regulations, and policies.
- Maintains confidentiality of school board office and school-related information.
- Serves as a liaison between employees and the HR Director in relation to FMLA paperwork.
- Performs other job-related duties as required by immediate supervisors.
