Summary: Coordinate the flow of work within the service department by creating production schedules. Review and distribute production work orders and technician schedules. Confer with department supervisors to determine the progress of work and completion date, as well as status of inventory levels, costs, and production problems.

Essential Functions

  • Maintain dashboard for all customer service activities from first call to work completion.
  • Assist Scheduling Supervisor with service technician work schedules to achieve 100% completion of customer on site work within 24 hours of request.
  • Participates in daily & weekly meetings with all departments to advise on status of critical items and report on service performance metrics.
  • Proactively Identifies issues to achieving customer expectations and provides recommendations to mitigate them.
  • Build and maintain relationships with current and prospective clients by providing regular communications on work status from scheduling through project completion.
  • Track customer requirements and translate into service work orders.
  • Assist with service issues that may get escalated to Management team attention.
  • Understanding of current Standard Operating Procedure and the ability to suggest revisions to streamline the process.
  • Receive work requests from customers.
  • Open work orders for Breakdown and Shop
  • Communicates and hands work orders to planner and shop supervisor.
  • Collaborates with Supply Chain and Parts Warehouse functions, to develop a process for managing part shortages and communication to the internal/external supply base.
  • Accomplishing a comprehensive understanding of Product and Service offerings.
  • Track Work in Progress (WIP) to foster informed decision-making while also ensuring work orders are resolved to a completion phase.

Qualifications and Education Requirements:

  • High school diploma or GED certificate.
  • Prefer 3 years of experience in materials planning, scheduling, dispatching, and/or purchasing systems.
  • Strong Attention to Detail and organizational skills
  • Comfortable working in a fast pace and sometimes ambiguous environment with competing priorities.
  • Must be an independent self-starter and complete multiple tasks in a high volume and fast paced environment.
  • Familiarity with the full MS Suite with emphasis on above average Excel Skills
  • Solid analytical skills, with the ability to conduct cost and schedule analyses.
  • Highly organized with strict adherence to deadlines
  • Demonstrate the ability to proactively prioritize requirements and effectively manage resources.
