Job Description

We are looking for a friendly, compassionate person to provide excellent customer service and efficiently support the operational needs of the office 2 days per week (13-15 hours/week) . This will be a job-shared position, so good communication is essential.

Requirements:

  • High School diploma or equivalent.
  • Two years or more of experience in a similar position is preferred.
  • Professional, yet friendly and compassionate demeanor and good communicator.
  • Achieve/maintain BLS Certification.
  • Valid Driver's License.
  • Proficient with computers and basic office operations.


Responsibilities:

  • Answer phones.
  • Greet patients and ensure patients complete all intake forms.
  • Schedule appointments.
  • Prepare patient charts for appointments.
  • Help keep waiting room and reception area clean and maintain office safety and efficiency.
  • Maintain supply of all patient intake forms.
  • Sort mail and maintain mail/fax/deliveries.
  • Fax patient medical records to medical offices for continuation of care within the scope of HIPAA and Hope Clinic policy.
  • Maintain patient files and input patient information and appointments into EMR.
  • Ensure the office is open and ready for operation each morning. Close office if last person in building.
  • Prepare print materials as needed (Examples: making copies, printing newsletters or invitations).
  • Maintain patient communication and ensure that appointment and class reminder texts have been sent.
  • Assist Safety Officer in performing routine safety inspections (testing alarms, checking fire extinguishers, etc.) as needed.
  • Maintain office organization and ordering of supplies.
  • Maintain rack card/class brochure distribution. Compile master list of places who have/need materials, what materials they need, how many they were given, etc. Contact each place bi-annually to see if additional materials are needed. Make sure material is sent as needed.
  • Assist admin team with tasks as needed, including classes, fundraising events, mailings, contacting volunteers etc.
  • Maintain clinic calendar, including appointments, meetings and events.
  • Assist in scheduling office staff and volunteers.
  • Enter volunteer time and sign-in logs.
  • Maintain donation logs.
  • Count baby bottle donations and prepare bottles to give out.
  • Make coffee.
  • Take garbage can out to curb weekly and recycling as needed.
  • Pick up mail from PO Box.
  • Carry out miscellaneous assigned tasks.
