Job Overview:
We are seeking a dependable, highly organized, and tech-savvy individual to manage daily office operations and serve as the central coordinator between the field crews, estimators, and customers. The ideal candidate will have excellent communication skills, a high level of attention to detail, and the ability to manage scheduling, documentation, and billing in a dynamic and fast-paced work environment. This position will start in an Office Assistant role for training purposes and will be transitioned to Office Manager within 90-days.
Responsibilities:
1. Manage daily job scheduling and calendar coordination for installation crews.
2. Oversee customer billing.
3. Prepare and distribute job documentation for estimators and installation crews.
104. Track project status from estimate to completion.
5. Answer phone calls and respond to emails professionally and promptly.
6. Support estimators and office staff with administrative tasks.
7. Oversee general office organization and task delegation to office assistant.
8. Recording all employee tardiness and absences (both excused and unexcused) in the employee attendance log, sitting in on employee disciplinary meetings and completing/filing all pertinent disciplinary paperwork, enforcing basic disciplinary actions such as attendance issues, preparing all change of status forms for employees through communication with management, etc.
9.Preparing, collecting, administering and recording all new hire paperwork and associated documents.
10. Any task handed down to you by CFO and Operation manager.
Position Schedule:
Monday – Friday, 6:30am – 4:00pm
Required Skills:
11. Fluent in English
12. Strong organizational skills and attention to detail
13. Excellent verbal and written communication skills
14. Proficient with Microsoft Office (Word, Excel, Outlook)
15. Experience with scheduling or CRM software
16. Comfortable with multitasking and working under time constraints
17. Dependable and self-motivated
18. Customer service focused
Preferred Skills:
19. Experience in construction or trade industry administration
20. Familiarity with QuickBooks or invoicing software
21. Conversational Spanish
22. Knowledge of fencing materials or project workflows
Compensation & Benefits:
Offering 45 hrs per week at $24–30/hour DOE
