We are currently seeking an organized and proactive Office Assistant to support our team in daily operations and ensure the smooth functioning of our office.

Position Overview:
As an Office Assistant, you will play a vital role in keeping our firm running efficiently. You will be responsible for a variety of administrative tasks that contribute to the overall productivity of our legal team.

Requirements

Key Responsibilities:
  • Reception Duties: Greet clients and visitors in a friendly and professional manner, answering phone calls and directing inquiries as needed.
  • Document Management: Organize, file, and maintain electronic and paper records, ensuring that all documentation is accurate and accessible.
  • Data Entry: Assist with data entry tasks related to case files, maintaining up-to-date and accurate information in the firm's systems.
  • Scheduling: Help with scheduling appointments, meetings, and court dates for attorneys and staff, managing calendars effectively.
  • Office Supplies Management: Monitor inventory of office supplies and equipment, placing orders as necessary to ensure that the office is adequately stocked.
  • Assisting Legal Team: Provide general administrative support to legal professionals, including preparing documents, drafting correspondence, and assisting with trial preparation.
Qualifications:
  • High school diploma or equivalent required; associate degree or higher preferred.
  • Previous experience as an office assistant or in an administrative role is preferred.
  • Strong organizational skills and attention to detail to manage multiple tasks effectively.
  • Excellent communication skills, both verbal and written, with a customer service focus.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Team-oriented with a positive attitude and a willingness to learn.
