We are seeking a detail-oriented Medical Administrative Assistant with strong customer service skills to join our team in Doylestown for a long-term temporary engagement. This role is integral to supporting the daily operations ensuring patients receive excellent care and staff members have the resources they need to perform their duties efficiently.
The schedule for this position is:
M, 8a-4:30p
T, 8a-4:30p
W, 11a-7:30p
Th, 10-6:30p
F, 8a-4:30p
The ideal candidate will thrive in a fast-paced healthcare setting, have excellent organizational and communication skills, and possess previous administrative experience, ideally in a hospital or rehabilitation center environment.
Key Responsibilities:
Provide administrative support to the rehabilitation department, including physical, occupational, and speech therapy services.
Schedule and manage patient appointments using hospital systems, ensuring optimal workflow and timely care delivery.
Serve as the first point of contact for patients, families, and visitors, answering questions and directing inquiries to the appropriate team members.
Maintain and update patient records, ensuring data accuracy, compliance with privacy regulations (e.g., HIPAA), and timely sharing of information with clinical staff.
Process insurance verifications and handle pre-authorizations to assist patients in navigating billing and payment processes.
Support therapists and medical staff with administrative tasks such as transcription of notes, documentation processing, and report generation.
Monitor inventory levels of office and therapy supplies, placing orders and coordinating with vendors as needed.
Assist in maintaining a clean, organized workspace and adherence to safety protocols.
Perform other administrative duties as assigned by supervisors.
Qualifications:
Experience: 1+ years of administrative experience; prior experience in a hospital or rehabilitation setting strongly preferred.
Skills:
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Familiarity with electronic health records (EHR) systems and scheduling software.
Strong organizational, time-management, and communication skills.
Ability to multitask effectively and maintain composure in high-pressure situations.
Excellent attention to detail and ability to handle confidential patient information with discretion.
Education: High school diploma or equivalent required; associate degree or higher in business administration, healthcare management, or a related field is a plus.
Other: Knowledge of medical terminology is advantageous but not required.
