Junior Executive Assistant

Job Summary

We are actively seeking an Executive Assistant for a full-time opportunity in Southwest Austin. The successful candidate will be highly organized, detail-oriented, sharp, motivated, and eager to learn . We're looking for someone with strong ambition and drive who can manage multiple priorities and support executive leadership effectively. In this role, you will provide critical support by managing calendars, overseeing daily operations, and ensuring that priorities are executed seamlessly. The ideal candidate exercises discretion, maintains professionalism, and is hungry to grow into a strategic partner to leadership .

Key Responsibilities:

  • Provide full calendar management, including scheduling, rescheduling, and prioritizing meetings.
  • Manage executive inboxes, draft professional communications, and flag urgent items.
  • Prepare agendas, record accurate meeting minutes, and track follow-up action items.
  • Coordinate travel arrangements, itineraries, and expense reports.
  • Prepare financial reports, track key performance indicators (KPIs), and create data dashboards to support executive decision-making.
  • Serve as a liaison between executives and internal/external stakeholders.
  • Support special projects and administrative tasks to ensure smooth operations.
  • Maintain confidentiality and always exercise sound judgment.

Qualifications:

  • 2-5 years of administrative or executive support experience.
  • Sharp, self-motivated, and eager to take on new challenges.
  • Strong organizational skills with the ability to manage calendars and prioritize competing demands.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); willingness to develop advanced Excel skills for financial reporting and dashboard creation.
  • Highly organized, detail-oriented, and resourceful problem-solver.
  • Ability to work independently with minimal supervision and a strong hunger to learn and grow in the role .

Hours: 8:00AM - 5:00PM M-F
