Executive Administrative Assistant
Location: Corporate Office (100% On-Site) Phoenix, AZ
Schedule: Monday – Friday, Full-Time (With On-Call Rotation for Emergencies)
Compensation: $34.50 per hour
We are seeking a highly skilled and detail-oriented Executive Administrative Assistant to provide top-level administrative support to a healthcare leadership team, including the President/CEO for an organization in Phoenix. This role requires exceptional organizational skills, the ability to manage complex calendars, coordinate travel arrangements, and handle time-sensitive tasks with professionalism and discretion.
Key ResponsibilitiesSupport leadership with administrative tasks such as scheduling and managing calendars, arranging travel, and preparing detailed expense reports.
Coordinate and plan meetings, including creating agendas, setting up virtual calls (Zoom, Microsoft Teams), and maintaining/distributing meeting minutes.
Act as the first point of contact for leadership by managing incoming phone calls and prioritizing urgent matters.
Maintain and update documents, spreadsheets, and contact lists with high accuracy.
Provide on-call support for emergencies, such as flight delays or last-minute travel changes, on a rotating basis (evenings, early mornings, weekends).
Assist in preparing executive-level presentations and documents with proficiency in PowerPoint and other tools.
Handle filing, correspondence, and other clerical tasks as needed.
Education: Bachelor’s Degree or equivalent work experience.
Experience: At least 5 years of administrative experience, including coordinating travel and managing complex itineraries. Healthcare experience required.
Technical Proficiency: Advanced skills in Microsoft Office Suite, including Outlook, Excel, PowerPoint, Word, and Visio. Experience with scheduling tools and virtual meeting platforms (Zoom, Teams).

Expertise in creating executive-level documents and presentations.
Prior experience in a healthcare environment required.
Background in project coordination, event planning, or meeting planning.
Experience providing administrative support to executive leaders.
On-Site Requirement: This is a fully on-site position at their corporate office.
Flexibility: Must be available to work extra hours for urgent tasks.
Skills Testing: Candidates will be required to complete skills assessments in typing, Excel (intermediate and above), PowerPoint, and scheduling executive calendars.
