PRIMARY PURPOSE:
Effect the efficient operation of office routines and practices associated with a busy, yet productive and smoothly run office, contributing its effective part in operation of the Extended School Day Department.
QUALIFICATIONS:
Minimum Education/Certification:
High school diploma or equivalent
Minimum > 40 WPM typing
College and secretarial courses- preferred
Special Knowledge/Skills:
Excellent communication skills both verbal and written, public relations, organizational and
interpersonal skills
Exceptional skills in word processing, database usage, and Microsoft Excel
Basic computational skills
Maintain accurate and auditable records
Perform a variety of tasks often changing assignment on short notice
Work well with students, parents, community members and campus staff
Excellent reading and grammatical skills
Exhibit flexibility and changes in routines or schedule
Attention to fine details
Ability to meet deadlines
Work Conditions:
Tools/Equipment Used: Standard office equipment including personal computer and
peripherals
Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting
Motion: Repetitive hand motions including prolonged keyboarding & use of mouse;
occasional reaching
Lifting: Occasional lifting and carrying (less than 40 pounds)
Environment: Work with frequent interruptions; Must maintain professional demeanor under
stress; Must have problem solving skills; Occasional district-wide travel and extended hours
Regular attendance is an essential function.
Minimum Experience:
Two years of successful experience as a clerk/typist or prior experience in clerical/secretarial
work
MAJOR RESPONSIBILITIES AND DUTIES:
* Handle day-to-day clerical tasks for the Extended School Day office.
* Update and maintain accurate enrollment and withdrawal records of students in the ESD Program
* Maintain accurate student data in Skyward.
* Record and file incoming student enrollment data; create monthly tuition billing plans, track and maintain tuition accounts for all ESD campuses.
* Collect and maintain ESD site data according to program guidelines.
* Maintain systems, procedures, and forms related to daily operations.
* Receive incoming calls, take reliable messages and route to appropriate staff.
* Assist ESD staff, students, teachers, and parents as needed.
* Enter purchase orders and requisitions for payment of fees, reimbursements, etc.
* Maintain confidentiality.
* Follow district safety protocols and emergency procedures.
* Comply with policies established by federal and state laws and regulations, and local board policy.
* Perform other duties as assigned.
