Position : Executive Assistant
Working Schedule : 8a-5p EST
Salary Range : 1,300-1,500 USD Monthly ( the final salary will be determined by the candidate's level of experience and at the discretion of the client)
Job Description:
You will be working directly with a dynamic entrepreneur and real estate investor who owns and operates multiple ventures, including:
- A boutique real estate firm focused on West and Central Florida.
- A technology-driven Title Company serving the entire State of Florida, with expansion plans via franchising and joint ventures.
Despite operating in the real estate and title industry, this is not a traditional “real estate assistant” role. Instead, you will serve as a critical right-hand partner to a busy CEO in a fast-paced, entrepreneurial environment.
Role Overview:
We are seeking an Executive Virtual Assistant to provide comprehensive administrative and project support to the CEO. This role is 100% remote, full-time (Monday–Friday, 8 AM – 5PM EST), and ideal for someone with a proactive, “go-getter” attitude who thrives on taking initiative and delivering results.
Key Responsibilities:
- Executive Administrative Support
- Manage the CEO’s calendar, schedule, and daily priorities.
- Coordinate meetings and appointments; handle travel arrangements and itineraries (including personal travel).
- Monitor and prioritize incoming email/messages; draft correspondence on behalf of the CEO.
- Communication & Coordination
- Serve as a liaison between the CEO and internal/external stakeholders.
- Provide excellent customer support and handle inquiries across multiple channels.
- Conduct research and compile data for projects, presentations, or meetings.
- Project & Task Management
- Oversee and track special assignments and projects from inception to completion.
- Utilize tools such as Asana, Keap, GoHighLevel, Zoho, and Slack to organize tasks, follow up on deadlines, and ensure smooth workflow.
- Provide administrative support for marketing campaigns and assist in creating collateral.
- Organization & Systems
- Maintain digital filing systems, task lists, and other records for streamlined operations.
- Continuously look for ways to optimize or improve processes for better efficiency.
- Miscellaneous Tasks
- Some personal tasks for the CEO, including scheduling medical, dental, or personal appointments.
- Carry out additional duties as required to support the CEO’s day-to-day operations and strategic objectives.
Qualifications:
- Experience & Background
- 2+ years of experience and a proven track record supporting C-level executives in a virtual or in-person capacity.
- Real estate industry experience is a plus (but not required).
- Solid understanding of project management and CRM tools (e.g., Asana, Zoho, Keap, GoHighLevel).
- Technical Requirements
- Reliable high-speed internet connection (minimum of 100 Mbps).
- Late-model computer (dual monitors strongly preferred) plus a quality headset for calls and virtual meetings.
- Skills & Competencies
- Fluent English is required; bilingual (English/Spanish) is highly preferred.
- Exceptional verbal and written communication skills.
- Strong organizational, time-management, and multitasking abilities.
- Comfortable working independently with minimal supervision; resourceful, self-motivated, and proactive.
- Proficient with Google Workspace (Docs, Sheets, Slides) and MS Office Suite.
